ASTRI Ecosystem Alliances Privacy Policy Statement

We, Hong Kong Applied Science and Technology Research Institute Company Limited (“ASTRI”, “we”, “our” or “us”) value and protect your rights to personal data and privacy.  This Statement describes how we collect, use, retain and protect your personal data.  It also sets out your rights in relation to your personal data.

 

1. APPLICATION OF THIS STATEMENT

ASTRI provides the Smart Mobility Technology (C-V2X) Alliance (“SMTA”) and may provide other ecosystem alliance programmes.  This Statement applies to members of our ecosystem alliance(s) and activities of our ecosystem alliance(s) organised and provided by ASTRI.

This Statement does not apply to any activities you conduct on ASTRI’s website.

 

2. COLLECTION OF PERSONAL DATA

For the purpose of ASTRI providing the ecosystem alliance(s) and relevant services and support (“purpose”), it will be necessary for you to provide us with certain personal data.  The failure to provide such personal data may result in our inability to provide services or support to you.  The personal data that we collect include the following:

(a)   General membership data: When you register as a member of our ecosystem alliance(s), we will collect membership data, including your name, your company/organisation and job title, your contact information (e.g, address, office telephone number, mobile number, email address), your information for payment of the membership fee;

(b)  Activities related data: When you participate in activities under our ecosystem alliance(s), we will collect data related to such activities, including your registrations and attendances in our activities;

(c)  Support services: In the event you contact us for support services, we will process your personal data.

We will not collect, process and use your sensitive personal data unless we have obtained your explicit consent as may be required under applicable law.

 

3. USE OF PERSONAL DATA

Your personal data may be collected, used or otherwise processed for:

(a)  processing your membership application for our ecosystem alliance(s);

(b)  maintaining the records of your registrations, subscriptions, purchases, and payments;

(c)  communicating with you about developments and news of the industries;

(d)  communicating with you about the seminars, forum, workshops, other events and activities of our ecosystem alliance(s);

(e)  selecting content to be communicated to you;

(f)  allowing you to participate in activities/ surveys of our ecosystem alliance(s);

(g)  handling enquiries about activities of our ecosystem alliance(s);

(h)  any other purposes as agreed from time to time by you and ASTRI.

 

4. USE OF PERSONAL DATA IN DIRECT MARKETING

4.1      As part of our ecosystem alliance programmes, we will send newsletters and alerts of seminars, forums, workshops and other events and activities regularly.

You may at any time use the unsubscribe facilities provided by us to stop the receipt of direct marketing materials of our ecosystem alliance programmes.

If you make a request to stop the receipt of direct marketing materials of our ecosystem alliance(s), you may not enjoy the relevant benefits of our ecosystem alliance(s).

4.2       We may send to you various direct marketing materials including:

(a)  the publications of ASTRI (such as, ASTRI’s annual report, newsletters, marketing leaflets and/or technical brochures) and information about the ASTRI’s collaboration with other organisations (such as the government of Hong Kong and the various Hong Kong government sub-vented organisations related to technological research and development);

(b)  the publicity and marketing materials on the technology and service of ASTRI and ASTRI’s achievements; and

(c)  materials on the technological-related events, exhibitions, forums, seminars and conferences in Hong Kong held by ASTRI, the government of Hong Kong and/or the various Hong Kong government sub-vented organisations related to technological research and development, through various communication channels by using your email address, correspondence address, telephone number and any other communications channels agreed by you.

You may at any time use the unsubscribe facilities provided by us to: stop the receipt of ASTRI’s direct marketing materials (except for direct marketing materials of our ecosystem alliance(s)).

 

5. SAFEKEEPING AND RETENTION OF PERSONAL DATA

Personal data collected by ASTRI will be maintained securely in our system.  We will at all times use all reasonable and practical steps to ensure that your personal data will be protected against unauthorised or accidental access, processing or erasure.

We will only retain the personal data for as long as necessary to fulfil the purpose stated in Clause 2 for which such personal data are collected.

 

6. DISCLOSURE OF PERSONAL DATA

We will at all times use all reasonable and practical steps to keep personal data held by us confidential. However, if it is necessary for us to disclose such personal data for a reason related to the purpose for which the data were collected, we may provide the personal data to

(a)  ASTRI’s agents, contractors, professional advisers (including ASTRI’s lawyers, auditors and accountants) and any other persons acting for and on behalf of ASTRI who: (i) have a need to know such information; and (ii) are under a duty of confidentiality to ASTRI to keep such personal data confidential and under a duty not to use your personal data for any purposes other than to carry out the services such agents, contractors, professional advisers and other persons shall perform for ASTRI;

(b)  the government, regulatory authorities or law enforcement agencies if so required by law;

(c)  Hong Kong-government sub-vented organisations and other statutory bodies in Hong Kong where ASTRI considers their communications would be of interest to you (such as matters related to innovation and/or technological developments in Hong Kong); and

(d)  ASTRI’s affiliates for the purposes of internal administration, reporting activities on company performance, business reorganisation or group restructuring exercise, system maintenance support or hosting of data.

Personal data we collect will be primarily stored in Hong Kong and Mainland China with us and our service providers. If for some reason, there is a need to transfer your personal data to places outside of Hong Kong, it will be done in compliance with the requirements of applicable laws of Hong Kong.

 

7. YOUR RIGHTS TO PERSONAL DATA

Subject to applicable laws and regulations, you may have the right to:

ask whether we hold your personal data and obtain a copy of such personal data and information about how it is processed;

request us to correct or update inaccuracies in your personal data;

request us to delete your personal data under certain circumstances;

restrict or refuse the processing of your personal data under certain circumstances;

withdraw consent to the use of your personal data for direct marketing.
